Release Date: 04 August 2026

Overview

Introduces significant enhancements to supplier and purchase order management alongside substantial performance improvements and critical bug fixes.

🆕 New Features

Minimum and multiple order quantities on supplier products.

Supplier products now support a Min Order Quantity and an In Multiples Of value, so purchase orders automatically respect the quantities a supplier is willing to sell.

Preferred suppliers by depot

A preferred supplier and cost price can now be recorded per depot for a product, rather than a single preferred supplier for the whole business.

List of available suppliers on the product screen

The product screen now includes a list of every supplier set up to provide that product.

New Group field on suppliers

Suppliers can now be assigned to a Group, making it easier to categorize and report on suppliers.

Add extra items to an existing purchase order from the Depot App

Depot App users can now add items that were not on the original purchase order when completing a supplier delivery, which is useful when a supplier delivers a substitute product.

📈 Improvements

Customer page loading speed in the main application has been significantly improved, so selecting a customer now opens the tab far more quickly instead of taking around 10 seconds.

Payment allocation now uses much less memory and refreshes less often, removing the long delays and freezes users experienced when allocating payments during busy periods.

Bulk invoice emailing runs are now faster and keep the application responsive, with progress reported for each invoice, reducing the chance of large email runs stalling.

Purchase order creation now warns about duplicate products and zero quantities, lets you remove lines in the wizard, and confirms when the order has been saved successfully.

Purchase order lines are now only deleted when you are in edit mode, act on the lines you have selected and ask for confirmation first.

Report Overrides can once again be added, edited and deleted, the 'Is Active' flag is honoured when resolving a report, and a confirmation is shown before deleting an override.

The product grid on the Price Groups screen now has a working vertical scrollbar so all prices in a group can be seen.

Update Staged Loading now only lists open and loading rounds (excluding holding and management rounds) and no longer slows down or hangs when many rounds are processed in one go.

Failed Direct Debit payments to Access PaySuite, for example where a collection exceeds the customer's payment limit, are now reported on screen, recorded as failed and left available for another collection attempt, while the remaining payments in the run continue as normal.

Items on the order confirmation email sent from the mobile app are now listed in product code order, matching the emails sent from Roundsman and the portal.

Importing standing orders now warns you when a customer has products on days where they have no round, so the problem can be corrected at the time of import.

Inactive sales reps are no longer offered in the Customer Import Wizard sales rep list, preventing them being applied to customers.

Statement emailing is now more reliable and records a system event for each statement, with the full email address shown in the progress dialog, so runs can be checked afterwards.

🛠 Fixes

The Unpaid Accounts report no longer hangs or crashes on systems with large numbers of unpaid accounts, and the list correctly refreshes when the date or Direct Debit options are changed.

Statement email runs no longer skip customers part way through a run, so all selected customers receive their statement.

Order confirmation emails sent from the app now show the order time in local time rather than UTC.

The unit of sale quantity entered against a supplier product is now saved instead of reverting to the default for the unit of sale.

Customers can once again order through the Customer Portal and app up to their own cut-off time; the account level web cut-off time is no longer applied when it is switched off.

Prices deleted in Roundsman are now removed from the portal, so out-of-date prices are no longer used for portal and app orders.

Customers are no longer incorrectly shown the 'Call the Dairy' message when trying to place an order on the app, and available delivery dates are returned correctly.

Disabling a price no longer prevents the price group from falling through to an older valid price, so retail prices are no longer charged in error.

Changes to a location's delivery address are now sent to the portal and app, so customers see the correct delivery address.

Setting a new portal password in Web User Management now clears the account lockout and no longer sends an unexpected password reset email, and the portal lockout page tells customers how to reset their password.

Suspending a round no longer freezes or crashes Roundsman on systems with large volumes of stock transactions.

Emails from the client and external web APIs, such as the 'Request Access' email from the app and portal, now send correctly instead of failing silently.
