The Create New Customer wizard can be found under the Customer Menu.
Click Create New Customer
Click Next
Choose if you want to create a customer and a new account or a new customer for an existing account.
If you select the option to create a new customer for an existing account, you will need to search for the account on the next page.
In this example, this is showing how to add a new customer and account.
Click Next
No fields are Mandatory.
The new customer will get the next allocated number.
Account number and customer number, normally the same.
Account number can be set to a default number.
Number used can be alpha numeric, although not advised.
Can use postcode lookup – this needs to be configured for your system.
Start date – date the account is live. Can be post-dated.
Depot – depot customer allocated to. Rounds will be allocated to the customer from this depot.
Type – This is the Customer Type.
Vat rate - Choose rates. Can be Configurable by customer.
Different types of Vat standards shown here. Customer can setup their own.
User price groups - Allows the definition of a group of prices instead of a specific customer price (which it does anyway).
Direct Debit required – forces dd instruction to the account.
Click Next
No invoices - if creating an account for an internal use i.e. moving stock from one depot to another and that depot is setup as an internal account and you don’t want invoices generating for them, this prevents roundsman double counting the figures if stock is moved from depot 1 to depot 2 and this is invoiced, when depot 2 sells on the stock, the stock will have been sold twice, although in reality the stock will have been sold only once.
Do not post to account package - select to not send transactions to the account package i.e. Sage.
Has Delivery Note - to have delivery notes or not. i.e. internal accounts
Use account Invoice configuration - will be disabled if creating an account and customer at the same time. If creating a new location, this could be checked or unchecked. Allows different locations to have different invoice layouts.
Use Account Invoice configuration - This will force the system to use Account invoice config file.
Valid from - This is the date the invoice config will be used from.
Invoice Layout - Changes what the invoice looks like
Billing Period - How frequently billed.
Payment Term - Configurable (DD – payment due on the date)
Invoice Group - Cash
Email invoice – emails to contact . Multiple emails can be separated by a ;
Hand delivery – invoice delivered by driver by hand
Click Next
Prices
Prices are imported from an existing account or customer. Can be skipped.
Locate the customer/Account with Find
This dialog will allow import of prices for the customer or the account
Prices Hierarchy
Customer Price - delivery location.
Customer groups - if location receives a product it will first look at the customer price. If no price exists for the location it will look at the customer group.
Account - If no Customer group price exists , it will look at the account price.
Product - if no account price, it will use the Default price (retail).
Click Next when happy. You do not need to enter prices.
Delivery
Default Round - Which rounds are set to the customer.
Area - how to breakdown rounds per area - not used.
Zone – grouped by post codes . Different zones can be allocated to different rounds. Configured in Administration >> Parameters Can be anything they want in here.
Sales rep - The sales Rep.
Delivery Sequence defaults to 1 try to avoid 1 – to 10 for moving around later on. Setup as 10 , 20, 30 etc.
Priced delivery note – delivery note will also include price. Only when invoiced will they get the prices. Prices will be at point of invoicing.
Click Finish
This Creates the Account and Customer and displays the Account and Customer overview tab.
